Production Administrator


Provide effective and efficiently administrative support to the Producing Department in the successful production and presentation of productions by the Market Theatre Foundation.
The incumbent is responsible for –
• Administration of schedules and procurement services
• Implementation, administration and reporting on allocated budgets
• Liaison with relevant persons in the completion of administrative processes & tasks
• Administration of logistics for travel & tours in the Department.

Key Job Responsibilities:

■ Take minutes of weekly Artistic Meetings and distribute to all members of the team ■ Maintaining of the Department’s Assets register ■ Assist with the compilation of the Department’s Quarterly Report ■ Assist in the preparation of quarterly performance information ■ Developing and maintaining a filling system for all administrative documents ■ Liaison with the Department’s service providers ■ Assisting the Producer with administrative matters as required in the following areas: Schedules, Planning, Timelines, liaising between the Producing office and the Creative team of a production as well as between other internal and external stakeholders■ Render general administrative support to the Producer.

■ Payment requisitions ■ Payment of salaries and fees to actors, directors and designers & other creatives engaged in a production ■ Drawing up of Box Office Income Statements for Royalties and door splits ■ Tracking all spending, control expenditure and report to the Producer.

■ Compile itinerary based on purpose, dates and location. ■ Manage all travel arrangements and itineraries for all company members as well as staff in the Department from time to time ■ Visa applications, booking accommodation, flights arrangements and transportation (e.g. Car rentals, Flights etc.). Negotiate the type and costs of services to be provided, in line with a budget ■ Hosting visiting companies and assisting with logistical arrangements as may be required ■ Processing travel and subsistence claims ■ Arrange events/Function, workshops and identify venues, invite role players, organize refreshments and set up schedules ■ Find solutions to any problems that arise concerning services or programmes provided ■ Follow up with clients to arrange payment and, after the event, to evaluate the service provided ■ Hosting visiting companies and assisting with logistical arrangements as may be required ■ Compile financial and special period reports.

■ Assist the Producer with the administration of contracts ■ Collating information for Production Information Documents ■ Drawing up and distributing Performance schedules ■ Collecting biographies from artists for the programme ■ Arranging meet and greets for the different companies ■ Maintaining a weekly events schedule and communication to relevant stakeholders ■ Set up appointments for auditions.

Key Competence Requirements:

■Minimum 2-3years Admin relevant working experience in an arts sector will be an advantage ■ Grade 12 (Matric) ■ Diploma in Administration or equivalent and arts related qualification ■ Knowledge of Administrative and clerical procedures ■ Knowledge of computers and relevant software application■ Knowledge of customer service principles and practices ■ communication skills ( Verbal & Written)■ Attention to detail■ problem solving skills ,
