BUSINESS UNIT: Market Theatre Foundation
Stage Services & Production Administrator
Provide effective and efficient administrative support to the Technical and Stage Services department. Responsible for, over and above principal accountability
- Administration of schedules and procurement services
- Administration and reporting on allocated budgets
- Liaison with relevant persons in the completion of administration process and tasks.
Key Job Responsibilities:
■ Attending to Production Meetings & retaining minutes for the Technical & Stage Services Department ■ Maintain all inventories, risk registers and attend to all compliance reporting for the Department ■ Act as the Department’s officer for health & safety ■ Manage and administrate the Department’s budgets including all invoicing for the Department ■ Maintain the Department’s schedules ■ Must be responsible for the contracting of the Department’s ad hoc staff and manage ad hoc time sheets ■ Prepare ad hoc wages and suppliers payments ■ Promote, manage & administrate the Department’s hiring services. ■ Manage the Wardrobe Assistant and the Stores & General Technical Assistant ■ The above person must have a background in Stage / Production Management ■ Must be a highly skilled administrator ■ Proficient in Microsoft office as well as general administration, filing and archiving ■ Have an understanding of general accounting ■ Attend SCM meetings ■Act as liaison and/or coordinate the technical aspects of rentals or bookings ■ Manage, supply and restock consumables needed by the department such as stationery ■ Manage and maintain a fix assets log (registry) so that the department is compliant with the auditing process as well as dispose of assets that are written off due to damage or end of lifespan
Key Competence Requirements:
■Minimum 3-5 years Admin relevant working experience in an arts sector will be advantageous ■ Grade 12 (Matric) ■ Diploma/Degree in Administration or equivalent and arts related qualification ■ Knowledge of Administrative and clerical procedures ■ Basic accounting skills ■Experience on Stage/Production management ■ Knowledge of Secretarial duties ■ Knowledge of computers and relevant software application■ Leadership qualities ■ Operational Health & Safety ■ communication skills ( Verbal & Written) ■ Ability to communicate more than one South African official languages.
