About the Role
Purpose
To manage and oversee the day-to-day activities that are related to the maintenance of the building, financial planning, record keeping, Schedule and oversee venue hire bookings, billing, logistics,and support staff for Windybrow Arts Centre organization.
Principle Accountabilities:
- Manage Data archive and filing.
- Maintaining asset register.
- Assist with tracking all spending patterns and control expenditure: petty cash, requisitions, and payments.
- Develop and maintain database systems.
- Managing office supplies and ensuring that the office is adequately resourced.
- Managing/ handling general office enquiries at reception.
- Receive all patrons at the Windybrow Front desk.
- Manage the WAC Reception switchboard.
- Acquire furniture and assets for the office in order to make it functional.
- Assist with drawing up contracts and lease agreements.
- Schedule appointments and maintain calendars.
- Sort and distribute mail to the appropriate parties.
- Provide superior customer service to clients.
- Greet clients and visitors as they enter the office and direct them where they need to go.
- Work with security staff to maintain office security.
- Answer phones and direct calls as needed.
- Assist with various administrative tasks, such as copying, faxing, and taking notes.
- Prepare meeting and training rooms for use.
- Schedule appointments and ensure that relevant staff are notified and prepared.
- Managing all payments for WAC programmes .
- Facilitate income producing opportunities for the Windybrow Arts Centre under guidance and supervision of WAC Head.
- Liaise with the Producing and Finance Departments to generate quotes and invoices for all rentals.
- Maintain a venue booking system.
- Be an active representative at the Health & Safety Committee for WAC.
- Relationship building for WAC with key partners and stakeholders.
- Ensure that the Windybrow Arts Centre facilities are maintained properly.

PREFERRED QUALIFICATIONS, SKILLS, EXPERIENCE
EDUCATION

High school diploma, associate’s/bachelor’s degree in a relevant field preferred
EXPERIENCE
- Proven experience in an office setting and as a receptionist, front office representative, or a related position.
- Experience operating office equipment like copiers and printers.
- The technical ability to use scheduling software and Microsoft Office products.
KNOWLEDGE / SKILLS
- Outstanding organisational & presentation skills and attention to detail
- The capacity to multitask and prioritise workload.
- The ability to work to a high level under extreme pressure.
- The capacity to work alone or as part of a team.
- Reliability, honesty and leadership skills (as you may be involved in project management at some stage).
- Discretion and respect for confidential information.
